Privacy Policy

This policy explains what RealtyWiseAI collects, why, and what you can ask us to do about it. Last updated August 3, 2026.

1. Who we are

RealtyWiseAI is an AI front office for real estate professionals. The legal entity behind it is ChurchWiseAI LTD, a Canadian corporation, operating under the WiseAI Agency name. References below to “we,” “us,” or “RealtyWiseAI” mean ChurchWiseAI LTD.

RealtyWiseAI is not a real estate brokerage. We do not represent buyers or sellers, we do not hold deposits, and we do not provide real estate advice. We operate the phone line, chat, and lead tools that a registrant uses in their own practice.

2. Two kinds of people this policy covers

Most privacy policies address one audience. This one addresses two, and the rules differ, so it is worth being clear about which one you are.

  • Members of the public — you called, texted, scanned a sign, or used the chat on a REALTOR®’s website, and an AI assistant answered.
  • REALTOR® customers — you subscribe to RealtyWiseAI and we process data on your behalf.

For the second group we act largely as a service provider to the registrant or brokerage. They decide what is collected and how it is used in their practice; we process it under our agreement with them.

3. If you called, chatted, or scanned a sign

When our assistant handles an inbound contact, we may collect:

  • A transcript of the call — what you said and what the assistant said back, converted to text. Audio recording is a separate, off-by-default option; see below.
  • Your phone number and, where you give it, your name and email.
  • What you were asking about — the listing or address, whether you are buying, selling, or renting, timing, and any preferences you volunteer.
  • Chat messages you send to the assistant on a customer website.
  • Sign scans — when you scan a QR code on a listing sign, the listing you scanned and the time.
  • Standard request logs — IP address, user-agent, referrer, pages visited, for security and abuse prevention.

This goes to the REALTOR® whose line you called, so they can follow up. That is the purpose of the service and the reason the information is collected.

Transcribed, not recorded — usually. What happens on a normal call is transcription: the conversation is converted to text so the REALTOR® can follow up, and the assistant tells you the call may be transcribed and reviewed. Audio recording is a separate feature that is off by default, so on most lines no audio of your call is kept at all.

Where recording is switched on, the assistant tells you that too, at the start of the call. In Canada a participant in a conversation may record it, but privacy law separately requires that we make the purpose known — so we say so up front rather than relying on the narrower criminal-law rule. If you would rather not be recorded, say so and ask to be transferred or called back by a person.

4. Talking to an AI, and how to reach a human

Our assistant identifies itself as an AI. We do not design it to imply it is a person, and we do not instruct it to claim to be one. This is a deliberate product rule, not a legal minimum: an AI assistant is a bridge to a human being, never a substitute for one.

You can ask for a human at any point in a call or chat and the assistant will hand off or arrange a callback. You are never required to give information to the AI to reach the REALTOR®.

5. If you are a REALTOR® customer

We collect what is needed to run your account:

  • Account and contact details, brokerage, and the registrant name shown to callers.
  • Configuration you provide — greeting, hours, service area, languages, escalation numbers.
  • Billing details, processed by Stripe. We do not store full card numbers.
  • Usage records — call counts, durations, lead volumes, and delivery status of alerts.

Leads captured on your line belong to your practice. You can export them, and you can ask us to delete them.

6. Listing and MLS® data

Where your account displays listing information, that data is supplied through a real estate data feed under the terms your board or association sets, and it remains subject to those terms. MLS® is a trademark of The Canadian Real Estate Association. We do not redistribute feed data outside the uses those terms permit.

7. Sharing and subprocessors

We do not sell personal information. We share what is necessary with vendors who operate parts of the service:

  • Vercel — website and application hosting
  • Supabase — database
  • LiveKit — real-time voice transport
  • Telnyx and Twilio — telephone numbers and call delivery
  • Deepgram — speech-to-text
  • Sarvam — speech-to-text for Punjabi and related languages
  • Cartesia — text-to-speech
  • Anthropic — primary language model
  • Google — fallback language model
  • Resend — transactional email
  • Cal.com — appointment scheduling
  • Stripe — payment processing

Each processes data only to provide its service to us. We do not authorize secondary use. Some operate outside Canada, which means information may be processed in another country and be accessible to authorities there under that country’s laws.

We also disclose information where the law requires it, and where it is needed to protect someone’s safety.

8. Retention

  • Call recordings: 90 days, then deleted. Recording is off by default, so on most lines there is nothing here to retain. A customer may ask for earlier deletion.
  • Call transcripts and AI summaries: 1 year.
  • Lead records: held for the life of the customer account, then deleted within 90 days of closure unless the customer exports or asks us to remove them sooner.
  • Request logs: 90 days.
  • Billing records: as long as tax and corporate record-keeping law requires.

9. Your rights

Under PIPEDA and provincial privacy legislation in Canada, and under GDPR or UK GDPR if you are covered by them, you may ask to access, correct, port, or delete personal information we hold about you, and to withdraw consent.

Email privacy@wiseaiagency.com with your request and enough detail for us to find the record and confirm who you are. We respond within 30 days.

If your request concerns a call to a particular REALTOR®’s line, we may need to direct it to that registrant or brokerage, since the information was collected for their practice. We will tell you if that is the case rather than leaving the request unanswered.

If you are not satisfied with our response you may complain to the Office of the Privacy Commissioner of Canada.

10. AI and training data

Calls, chats, and leads handled on customer lines are not used to train third-party foundation models. Our model vendors process the content to generate a response and do not receive it for training under our agreements with them.

We do review conversations internally to fix errors and improve the assistant. Where we use examples in documentation or training material, we remove names, numbers, addresses, and anything else that identifies the caller.
